Accurate product data from ERP to store and catalog

One source for all your product data, so your online store, catalog, and price list always say the same thing without duplicate entry.

You have thousands of products. The specifications are in the ERP, the photos on a network drive, the texts in the online store, and the prices in an Excel file that arrives from the supplier every month. When a dimension changes, someone has to update it in four places. Sooner or later, the website says something different from the catalog, and a client calls because the product does not fit in the box.

One place for accurate product data

A PIM system is one central place for everything you know about a product: name, description, dimensions, material, photos, documents, prices per client group, and the German translation. Every other place that product appears pulls its data from there. Your online store, the printed catalog, the price list for the field sales team, and the feed to a marketplace all get the same source. Change something, and it changes everywhere.

That sounds obvious, but at most wholesalers and manufacturers we talk to, it is not the case. The product data has grown with the company, and every system has its own version. So we do not start with software, but with the question of which system is the truth for which field. Prices come from your ERP, texts from the PIM, inventory from the warehouse. We record that, and then we build the integrations that make it happen.

Standard PIM or custom catalog

There are good standard packages for product information, and if such a package fits you, that is what we recommend. We configure it, connect it to your ERP and online store, and make sure your team can work with it. You should not pay for more custom development than necessary.

Sometimes a standard package does not fit. Your products have configurations that differ per client, you sell per piece and per pallet with your own units of measure, or your catalog has to be in a layout no package supports. Then we build a custom catalog system, with the same approach as Custom software: exactly the fields and rules your range needs, and nothing that gets in the way. Which route it will be, we tell you right after the intake.

Your products in a prototype within ten business days

We start with part of your range, for example the one product group with the most errors. We pull that data from your current sources, clean up the duplicate products and inconsistent spellings, and put it in a first version of the system. Within ten business days, your team clicks through its own products and sees how a change carries through to the online store.

We do not do the cleanup by hand. Where hundreds of supplier files each have a different column layout, we use AI to pull specifications from PDFs and spreadsheets and translate them to your field names. An employee checks the result instead of retyping it. From that prototype, we expand to the rest of the range, and through System integration we connect the remaining systems: ERP, online store, marketplaces, and the printer of your catalog.

Your product data remains yours

Product data is years of work. It should not be locked into a package you cannot leave. Everything we build or configure runs on servers in the EU, you get the source code and the data model, and you can export the data in full at any time. Do you want us to keep the system running after delivery and update the integrations when a supplier changes its file format? Then we handle that under Software maintenance. If you would rather do it yourself, you get the documentation to be able to.

02, HOW WE WORK

  1. We look at where your product data sits now and where the errors start.

  2. We decide per field which system is the source

    ERP, PIM, or warehouse.

  3. Within ten business days, we set up a first version with part of your range.

  4. We clean up the existing data and connect the online store, ERP, and catalog.

  5. We expand to the full range and train the people who maintain the data.

FAQ

FAQ

Do we need a PIM, or is our ERP enough?

An ERP is good at prices, inventory, and orders, but not at long descriptions, photos, translations, and documents per product. With a few hundred products without variants, you can often manage with your ERP and a good integration. With thousands of products and specifications per market, a PIM becomes the place where that stays manageable, and we tell you which it is right after the intake.

Does this work with our online store and Exact?

Yes. The PIM becomes the source for texts, photos, and specifications, and through System integration those flow to your online store and to packages such as Exact, AFAS, or Odoo. Prices and inventory stay where they are already correct.

Our product data is a mess. Do we have to clean it up ourselves first?

No, that is part of the work. We remove duplicate products and inconsistent spellings and fill in missing fields from supplier files, with AI where possible. Your people check what we propose instead of retyping everything themselves.
