Workshops and seminars: AI at work, Article 4

Half a day. Your team leaves with five practical use cases for your own work and knows which rules apply.

AI literacy under Article 4 of the EU AI Act means that everyone in your company who works with AI knows what it does, what it does not do, and which rules apply. Our in-company workshops cover that in half a day, with examples from your own processes, an attendance list, and a one-page set of rules. Demonstrable, the way the AI Act asks. Optimi is an AI process optimization agency in The Hague for companies with 10 to 100 employees.

Who the workshops are for

They are for management and the 5 to 15 people who do the administrative work. They are for companies that already work with Copilot or ChatGPT and need to show their AI literacy. And they are for accounting firms and trade groups that want a seminar for their clients or members.

Article 4 in plain language

Since February 2, 2025, the AI Act requires companies to make sure that employees who use AI have enough knowledge. In the Netherlands, it has been enforced since August 2026. This applies even if you "only" have Copilot in Outlook. What counts as "enough" depends on the role: a planner who has a draft email written needs different knowledge than the account manager who puts client data into a tool.

The AI Act does not ask for a diploma. It asks that you can show what you have done. That is why every session ends with an attendance list, a short quiz, and a one-page set of rules for your work floor.

How a workshop day runs

A half day of "AI at work" looks like this:

  • 9:00 AM What AI does and does not do, in ten minutes and without jargon.
  • 9:15 AM Three examples from your own processes, prepared by us.
  • 10:00 AM In groups: what do you retype? Which email do you answer again every day?
  • 11:00 AM Fill in the use case canvas: five opportunities, ranked by hours saved and ease.
  • 12:00 PM The rules: what is allowed, what is not, and who approves. Attendance list and quiz.
  • 12:30 PM A written next step. Done.

Lead time

Two weeks from request to workshop. Half a day or a full day, depending on the format. Open seminars in The Hague on request.

What you can count on

  • Examples from your own work, not a standard deck.
  • Article 4 explained as it is: an ongoing duty, not a checkbox.
  • Evidence that counts: attendance, a quiz, and a one-page set of rules.
  • Trainers with a background in process analysis and building software, not only in presenting. Team
  • No sales pitch: the scan comes up once, at the end.

FAQ

FAQ

How does the workshop help us show compliance with Article 4?

You get an attendance list, a short quiz, and a one-page set of rules for your work floor: the evidence the AI Act asks for. Article 4 is an ongoing duty, so we also agree when new employees and new tools get a refresher.

How many people can join?

The use case workshop works best with 8 to 15 people: management plus the colleagues who do the administrative work. The literacy session takes up to 25 participants per group. For larger companies, we split the group in two on the same day.

Do participants need to be technical?

No. We talk about work, not technology: which email comes in, what you retype, who approves. Anyone who can open a spreadsheet can take part. Your IT lead is welcome but not needed.

Can it take place at our site?

Yes, and that is the default. In-company works better because we can use your own systems and documents. We organize open seminars in The Hague on request, for example for an accounting firm that wants to invite its clients.

Is it a sales pitch for the scan?

No. The workshop is designed to stand on its own: you leave with five use cases and the rules. We mention the scan once, at the end, as a possible next step. You can also pick up the use cases yourself or with another partner.
