A portal where clients handle routine tasks without your inbox

Your clients log in, see their own orders, invoices, and documents, and handle things themselves, while your team handles less email and fewer calls.

A client calls: where is my order? Another emails to ask for last month's invoice again. A third wants to know whether their contract has been renewed yet. Someone on your team looks it up in the ERP, checks the accounting system, and sends a reply. That answer was already in your systems. It just took a person to get it out. A client portal gives your clients that information themselves, at any time of day, without an email in between.

Questions your systems can already answer

Most client questions are not about something new. They are about the status of something that already exists: an order, an invoice, an appointment, a file. It sits somewhere in your records, your planning, or your ticketing system. The problem is that only your employees can get to it. So every question goes through a mailbox or a phone, with waiting time between question and answer, on both sides.

A portal removes that detour. The client logs in and sees what is theirs. Open orders with the expected delivery date. Invoices as PDFs, including the ones from three years ago. The documents that belong to their file. For a wholesaler, that is the order history and the client's own price agreements. For an accounting firm, the documents still waiting for a signature. For a healthcare organization, the appointments and forms a client may view themselves. The information is the same as what your employee sees, just without the employee in between.

What clients can see and do

Seeing is the start. The real time savings come when clients can also do something themselves. Change an address. Accept a proposal. Report a fault with a photo attached. Upload a document you would otherwise have to ask for three times. Reschedule a delivery. Every action that is now an email someone has to read, understand, and retype becomes a form that lands directly in the right place.

Together with you, we decide which actions a client may do freely and which go past your team first. A change of address can usually go straight through. Canceling an order that is already in production, preferably not. We build that difference in, so the portal takes over work without you losing control. And because the portal connects to your ERP, accounting, or planning through System integration, what a client enters is immediately where it belongs. Nobody types it over again.

A first portal within ten business days

We do not start with a long list of everything a portal could ever do. We start with the question your team gets most often. Often that is the order status or the invoice. We make that one question work within ten business days: a login, an overview, real data from your own systems. You let a few clients look at it, preferably the critical ones.

What they miss, we add. What they do not use, we leave out. That way the portal grows based on what clients do, not on what we thought up in advance. If it turns out to be mainly about ordering, it looks more like a B2B online store, and we check whether Apps and online stores is the better form. We tell you that right away, before we build something that already exists.

Secure and owned by you

A portal puts client data outside your office, so the setup has to be right. Each client sees only their own data, and within one client, a buyer can do something different from a bookkeeper. We log who did what and when, so you can trace a question later. The connection is encrypted, the data stays within the EU, and the processing follows the GDPR. For the formal side of that, we look together at GDPR compliance.

And the portal is yours. You get the source code and the documentation, not a license per client that gets more expensive as you grow. It keeps working as long as the systems behind it work, and we can keep an eye on that for you through Software maintenance. Or you handle it yourself, because you are the owner.

02, HOW WE WORK

  1. We look at which questions your clients now ask by email or phone and where the answers sit in your systems.

  2. Together, we decide what clients may see and do themselves, and what goes past your team first.

  3. Within ten business days, we build a first working portal with real client data.

  4. You let a few clients try it, and we adapt the portal to what they need.

  5. We connect the portal to your systems and launch it securely.

FAQ

FAQ

Can clients also place orders themselves through the portal?

Yes, if that fits how you work. If it is mainly about ordering, it looks more like a B2B online store, and we look together at whether Apps and online stores is the better form. Often a portal starts with insight into orders and invoices, and ordering comes later.

How does the information get into the portal?

Straight from the systems you already use. Through System integration, we connect the portal to your ERP, accounting, or planning, so a client sees the same thing your employee sees. Nobody has to retype anything.

What if a client sees the wrong data or breaks something?

We set permissions per client and per role, so someone only sees their own data. Changes a client submits can arrive at your team as a request, if you want, instead of going straight into your records. And we log who did what and when.
