Ask your own documents a question and get the answer with its source.

You type a question in plain language and get the answer within seconds from your own contracts, manuals, and emails, with the source page.

A client calls with a question about the agreements for a machine you delivered seven years ago. The answer is somewhere. In a contract on the network drive, in an email thread with a colleague who has since left, or in a manual on SharePoint. Half an hour later you have found it, or you call the client back with a guess. In most organizations, this happens dozens of times a week. We build a search tool you simply ask a question, and it pulls the answer from your own documents, with the source attached.

Why searching your own files takes so much time

The search bar in Windows or SharePoint searches for words. Type "notice period" and you only find documents that contain exactly those words. If the contract says "termination with three months' written notice", you find nothing. On top of that, the knowledge is spread over folders, mailboxes, your ERP, and PDFs that never got a proper name. The result is that the real search system is a colleague: the one person who knows where everything is and what was agreed back then. As long as that person is around, it just about works. When they are out sick or retire, the searching starts over every time.

Asking a question instead of digging through folders

We put a language model next to your documents. Not to rewrite them, but to understand them. You type a question the way you would ask a colleague: what maintenance interval did we agree with that one municipality? The system finds the passages that deal with it, even when the wording is different, and gives an answer in a few sentences. Below the answer is where it came from: which document, which page. You click through and check it yourself. If the system finds nothing, it says so instead of making something up.

You decide which sources take part. A network drive, SharePoint, a shared mailbox, a folder of contracts, the knowledge base of your service desk. Are your documents scanned, or full of tables and handwritten notes? Then we first run them through Document processing (OCR + AI), so the text is readable before we make it searchable. Meetings and phone calls can be included as well, through Transcription and summaries.

A prototype on your own documents within 10 business days

We do not start with an architecture diagram. We ask your team which questions they have to look up again every week, and we collect the documents that hold the answers. With those, we build a first version within 10 business days. You ask it your own questions and see right away whether it is right. Some answers are good immediately. Others are too vague or come from the wrong document, and that is exactly what we want to see. We change the way it searches, split the documents differently, or add a source, and keep building until your team trusts it. If it turns out halfway that a plain keyword search is already enough, we tell you right away.

Your documents stay yours and inside the EU

Your contracts, quotes, and personnel files do not belong in a cloud outside Europe. So the language model runs on a server in the EU, and your documents are never used to train a model. The system follows the permissions you already have: if someone may not open a folder on the network drive, they get no answers from it either. You own the code, the search index, and the settings. If you later want the system to carry out tasks as well, such as drafting a reply to a client, a Private AI assistant is the logical next step. And if you need to show how the AI handles data, we look at AI governance and audits together.

02, HOW WE WORK

  1. We look at which questions your team looks up again in folders and mailboxes every week.

  2. Together, we decide which sources take part

network drive, SharePoint, mailbox, ERP, or a folder of contracts.

  3. Within 10 business days, we build a prototype that searches your own documents and answers with sources.

  4. You test it with the questions your team really asks, and we sharpen the results until they are right.

  5. We take it live on a server in the EU and arrange who may see which documents.

FAQ

FAQ

Does the AI read all our documents, and do they go abroad?

The system only reads the sources you point it to, and it does so on a server in the EU. Your documents are never used to train a model and remain yours. If you need to demonstrate that formally, we can help with AI governance and audits.

Most of our documents are scanned PDFs. Does that work?

Yes. We first run scans through Document processing (OCR + AI), so the text comes out and becomes searchable. Handwritten notes and photos of forms can be included this way too.

How do you know an answer comes from your own documents?

The system may only answer with what it finds in your documents, and the source is always shown so you can check it yourself. If it finds nothing, it says so.
