Meetings and calls written out and summarized, inside the EU
Every conversation you record is written out and summarized in your own system within minutes, without anyone listening back.
A one-hour intake call means half an hour of typing. The note-taker for the management meeting is still writing the report the next day. And all the CRM says about the call with that one client is: called, will get back to us. We turn recordings into a written transcript and a summary automatically, on a server in the EU, and put them where your team needs them.
Where the write-up time goes
Almost every organization talks more than it writes down. A care provider runs intakes and multidisciplinary meetings. An accounting firm discusses the annual figures with the client. A municipality meets with residents and council members. A wholesaler is on the phone with clients and suppliers all day. Something has to be recorded from all those conversations, and that usually happens afterward, from memory or from a recording someone replays at double speed.
That takes time, and nobody enjoys it. What ends up in the report depends on who writes it and how much else is on their desk that day. Agreements from the conversation disappear, or turn up a week later in an email nobody can find. Transcription and summaries with a speech model remove that manual work. The recording is written out, the summary follows automatically, and both are ready within minutes.
From recording to report in your own words
A word-for-word transcript is rarely what you need. Nobody rereads 12 pages of meeting text. What you want is a report in the format you already use: the decisions and action items of a meeting, an intake report under the fixed headings of the case file, or three lines in the CRM after a phone call. We build the summary around that format. You decide which headings it has, how long it may be, and what must never be missing.
We also teach the model your language. Product names, abbreviations, the names of colleagues and clients: a speech model that does not know them will write something else. A glossary of your terms solves most of that. For the rest, the same applies as in our AI implementation service: the AI does the first pass, and a staff member reads it and approves it. That is why we do not build this as a separate tool. We build it into the system where the report has to end up anyway.
Confidential conversations stay inside the EU
Conversations are often the most sensitive thing an organization records. An intake in healthcare, a conversation about a dismissal, a meeting about an acquisition. You do not want to send that to a free transcription service that uses the recording to train its own models. We run the speech model on an isolated server in the EU. The recording and the text stay in our managed environment inside the EU, isolated, and are deleted whenever you want.
You cannot simply record people. Participants must know the conversation is recorded and why, and personal data needs a legal basis and a retention period. We handle the technical side: who may play the recordings, how long they are kept, and what the logs contain. For the formal side, from the notice at the start of the call to the register of processing activities, we work together with our GDPR compliance service.
A prototype in 10 business days, on your recordings
We do not start with a six-month pilot. You give us a handful of recordings of the kind of conversation that costs the most write-up time today. Within 10 business days, a prototype transcribes them and summarizes them in your format. You compare the summary with what a colleague would have written and tell us where it misses. We adjust that. If the quality is still not good enough for your conversations after that round, we tell you right away and stop there.
If it works, we make it permanent. The output lands in the calendar, the CRM, or the case system, and the transcript becomes searchable through AI document search, so half a year later you can still find exactly what was agreed. You own the recordings, the texts, and the code. Not sure transcription is the process to start with? Then the AI process scan is the place to count that first.

02, HOW WE WORK
-
You pick the kind of conversation that costs the most write-up time today
meetings, intakes, or phone calls.
-
We listen to a few recordings and decide together what the summary must contain.
-
We set up a speech model on an isolated server in the EU and build a prototype within 10 business days.
-
You test the prototype with your own recordings and tell us where the summary still misses.
-
We connect the output to your calendar, CRM, or case system, so nobody copies and pastes anymore.
FAQ
FAQ
Does this work with Dutch, accents, and technical language?
Yes. The speech models we use are trained on Dutch, including accents and participants who talk over each other. Terms and names the model does not know go into a glossary, and in the prototype you see exactly where it still goes wrong.
What do we need to record conversations and have AI process them?
Participants know that the conversation is recorded and why, and personal data needs a legal basis and a retention period. We handle the technology; we arrange the formal side together through GDPR compliance.
Can we search later for what was said in a conversation?
Yes. The transcript is plain text, so you can store it with the case or the client. If you want to search across all conversations, this connects directly to AI document search.
